Student groups may book events beginning Feb. 15 on a first come, first serve basis. If reserved two weeks in advance, student organizations will be given exclusive reservation rights. Exceptions to this policy include traditional university events and those authorized by the director of the Trone Student Center. Non-student groups may book the Trone Student Center facilities beginning in March. Special exceptions may be granted with approval from our staff. Due to the high volume of reservation requests submitted to the Trone Student Center, student organizations holding a weekly reservation may be asked to accommodate other reservation requests from time to time. Special approval is required to reserve rooms during official university holidays. For events scheduled beyond regular business hours, approval from the director of the Trone Student Center is required. Reservation requests may be denied for various reasons, including but not limited to unavailable space or insufficient time to complete a request. No red liquids are allowed in our facilities. Any food and drink in the Trone Student Center must be scheduled through ARAMARK food services. No outside food or drinks are allowed without written approval from ARAMARK. Open flames are prohibited in the facility. Any candles must be approved by our staff, and must be encased in a protective globe. Furman is a non-smoking campus. No smoking is permitted in the facility. No smoke-creating devices, including but not limited to fog machines or dry ice, may be used in our facilities. To cancel a reservation, individuals must contact our staff 48 hours before the event. Failure to do so will result in a warning for the first violation, and a $100 charge for the second violation. If an individual cancels an event without notice three times in the same year, the user's reservations will be cancelled and their reservation privileges will be revoked for a period of one year. The Trone Student Center reserves the right to charge additional fees for cleaning, damage to the facility or other violations. Violations of policies and procedures may result in a withdrawal of room privileges for future events. Room rental procedures When requesting a space, all pertinent information regarding the reservation, including the name, email address and phone number of the individual requesting the room, must be entered. Reservations are not confirmed until the individual requesting the room has received confirmation from the Trone Student Center. Responses will be made within five business days. For urgent requests, please contact the Trone Student Center. When a Trone Student Center facility is reserved for multiple events, our staff will ensure that there is adequate time to clean between events. With the exception of the Joyner Conference Room, Trone Student Center facilities have several set-up options: theater style, classroom, banquet, cleared floor, hollow square, and custom. The Joyner Conference Room must remain a seminar style set-up with a conference table. To alter a set-up request, individuals should contact our staff 24 hours before the event. Any change within 24 hours may become the responsibility of the requesting organization. Under such circumstances, the organization must reset the facility as it was originally set. Audio and visual needs must be submitted 72 hours before the event. Failure to make this request may result in the equipment being unavailable to the individual seeking it. If deemed necessary by our staff, a Trone Student Center technical assistant may be required at $8.50 per hour. If you bring anything from an outside vendor, such as a dance floor or sound system, the equipment must be removed within 24 hours, unless given special approval by our staff. The Trone Student Center does not provide a laptop for presentations. You must bring your own laptop to connect to our LCD projectors. Apple adaptors are provided for Macintosh computers. Table rental procedures There are six information/vendor table spaces available on a first come, first serve basis on the first floor of the Trone Student Center. Once these slots are filled, no other table reservations will be allowed. To reserve a student organization information/vendor table, please follow the same reservation policies stated for other facilities and spaces. Student organizations and campus departments may reserve information tables at no charge. However, tables must be reserved no later than 48 hours in advance. Tables requested within 48 hours of the needed time will not be available. Vendor tables are available to external users at a charge of $125 per table, per day. Exceptions may be made only by our staff. This fee allows the vendor unlimited time in the vendor spaces during the day of the reservation. Two chairs will be provided for each table, but table cloths are not provided. The Trone Student Center reserves the right to deny space to any vendor for any reason. Credit card companies, alcohol distributors, or tobacco companies are not allowed in the Trone Student Center.
