Minutes: Policies and Procedures Committee

Present: DeJong (chair), Gabbert (recorder), Horney, Lewis, DeLancy, Cheesebro, Berg

The minutes of the January 24th meeting were approved.  Gabbert will post to the P&P Committee conference on FirstClass.

DeJong thanked Berg for providing the committee with paper copies of the faculty handbook.

File 190.8 Study Away Committee Operating Procedures was approved by faculty.

Horney reported on her conversations with the Provost office.  She is waiting to hear back from the Provost.

File 367.5 Risk Management and Off Campus Programs 
Suggestions were provided for removing the specific URL to find the sanction list and travel warning list.  One minor editing suggestion was made.  DeJong will send these suggestions to the originator and if they agree the policy will be put on the consent agenda.

File 100.0 Faculty Security
Concerns were expressed that the changes altered the intended meaning of the policy.  Berg retracted his changes and Horney agreed to draft another version incorporating some of the suggested changes while maintaining the intended meaning.  The policy will be revisited during the Feb 22nd or March meeting.

File 155.5 Corresponding Rank of Library Faculty
Some minor edits were suggested.  Rationale statement will be separated and attached to the policy.  These will be sent to the originator, and if originator agrees, the policy will be brought to the faculty at the next faculty meeting for a first reading.

File 155.3 Promotion of Library Faculty
Some minor edits were suggested.  Rationale statement will be separated and attached to the policy.  The originator will be identified on the policy and the red modifications will not be visible as this is a new policy. The final edits will be sent to the originator, and if originator agrees, the policy will be brought to the faculty meeting for a first reading.

File 155.2 Evaluation of Library Faculty
Some minor edits were suggested.  In addition the following changes were suggested:

  • Guideline 2c:  needs to be clarified whether the preparation implies creating the form or filling out the form.
  • Guideline 2e:  A rewording was suggested.

Some minor editing suggestions were made for the evaluation form.  Rationale statement will be separated and attached to the policy.  The originator will be identified on the policy and the red modifications will not be visible as this is a new policy.  The final edits will be sent to the originator of the policy, and if originator agrees, the policy will be brought to the faculty meeting for a first reading.

File 111.8 Director of Admissions
This policy was pulled off the consent agenda from the faculty meeting as the wording was in violation of the constitution.  The background statement was reworded slightly to better reflect the intent of the constitution.  The policy will be put on the consent agenda at the next faculty meeting.

File 680.1 Athletic Team Travel
This policy does not pertain to club sports.  This policy will be removed from the faculty handbook and will be an administrative policy.  Berg will modify the policy and then approach Owen McFadden about originating a policy to include club sports.  DeJong will investigate what travel policies are already in the faculty handbook.

Our next regular meeting is scheduled for February 22nd at 9:30am.  The open forum sponsored by AAUP is on Wednesday, March 5th at 3:30pm to discuss the new and modified library policies.
